Steps
- Make sure the booking is confirmed — invoices can only be created on confirmed bookings
- Create the deposit and balance invoices — set these up as normal first
- Rename the invoices if needed — this step is optional. If it is a long-term booking, you may want to rename the first invoice from Deposit to Month 1 or Week 1. Click the description field to edit it.
- Edit the balance invoice amount — click the blue Edit button on the balance invoice. Enter the amount you want to charge for this instalment, excluding tax. Click Save. You will see a new remaining balance appear.
- Create the next invoice — click the blue button to create an additional invoice. Enter the amount including tax this time — for example, if the next instalment is £1,200 including tax, enter 1200. The system will keep creating new invoices as you add amounts.
- Repeat for each instalment — continue adding invoices until the full booking value is covered. Label each one clearly — for example, Month 2, Week 2, Instalment 1, Instalment 2, and so on.
- Set up automatic sending — if you do not want to manually send each invoice months or years from now, turn on automatic invoice emails. Go to Account Settings (click your name in the top right) and tick Send Late Payment Reminder Email. This will automatically send the invoice email on each due date.
